Plan from the first meeting backwards
Choose a location around the places you need to be. Compare likely transfer times, check-in arrangements, and the cost of arriving early. A prestigious address is useful only if it also makes the schedule work. Leave time between arrival and a commitment that matters.
Ask about the workspace
Confirm the desk setup, power sockets, lighting, and available meeting spaces. Ask about internet access and any extra charges without assuming that a hotel’s standard connection will meet your needs. For a video meeting, a quiet room may matter more than a large public lounge.
Keep your travel technology simple
Check roaming or eSIM compatibility before departure and save essential documents for offline access. Follow your employer’s device security and data handling policies. Carry the adapters and chargers needed for your actual equipment, and keep backup contact details available.
Make expenses easier to reconcile
Clarify invoicing details, company payment requirements, deposit holds, and who can approve incidental charges. Keep receipts as you go. A short walk, a proper meal, and time away from the screen can make the journey feel more balanced between work commitments.
